Result of Room Change Application
Dear PGH students,

We would like to let you know that the result of “PGH Room Change Application for 2nd Semester of AY2022/2023 as below:

A. Application Result:

B. Schedule:
Room Change Period
2 January 2023 - 3 January 2023
Stay period of the new assigned bedspace
2nd semester of AY2022/2023:
1 January 2023 - 31 May 2023, move-out by 14:00

C. Procedure for Room Change :
1) Before room change, student should...
    - Remove all personal belongings and garbage, otherwise, the Garbage Removal Fee (MOP 370 per person) will be imposed.
    - Restore the room to its original condition, otherwise, the Cleaning Fee (MOP 420 per room) will be imposed.
    - Clean the common area (eg. bathroom) even the other student in the same room has not moved out.

2) During the room change period...
    (a) Student should...
      - Approach the Management Company Office# for the newly assigned room, present your student ID to the staff and fill in the Room Change Form.
      - Collect the new room key card.
      - Check the new room and complete the equipment checklist to confirm the condition of the new room. The checklist must be returned to the Management Company Office# for the newly assigned room within 3 days. If no checklist is received, it is assumed that the room is in good condition and student should bear the responsibility for any damage or lost of equipment.
      - Return the old room key card to the staff of Management Company Office# for the old room. - Compensate any damaged or lost property in the old room.

      - In case you are unable to change to the new room in person, you may choose to authorize another UM student to perform the room change procedure on your behalf. To perform the authorization process, please fill in the authorization form and attach the ID copies of both parties and hand them to the Management Company during the appointment.

    (b) Management Company staff will...
      - Check the cleanliness / conditions of the current room according to the equipment checklist.
      - Record the electricity and water meter reading for excess usage if any.
    # Location of the management company in each area:
    - S1 to S4: S3-G003
    - W32: W32-G003

3) About one month after the room change procedure has been completed:
    - Students will receive a debit note to pay the difference in room rate (if any) or/and utilities for the previous room (if any).

D. Points to Note:
    I. ALL residents can only change their room ONCE per semester.

    II. Only current PGH residents* who will renew the PGH accommodation for 2nd semester of AY2022/2023 and who meet the requirements stated in the e-bulletin which announced on 9 November 2022 (Link: https://go.um.edu.mo/y0xpvpty) are allowed to participate in this application. (any applications from students who do not meet the above requirement will NOT be accepted)
    * PGH residents who have completed the PGH move-in procedure on or before 15 November 2022.

    III. After the result is announced, students who DO NOT perform their room change procedure within the designated period will be treated as forfeiting the newly arranged room. Besides, students may not be allowed to stay in the original room. Completion of PGH room change procedure refers to the completion of move out of the previous room and move-into the newly assigned room.

    IV. NO further adjustment would be allowed for the newly assigned bedspaces to those successful applicants.

    V. Deduction of PGH Points:
      V-1 Students who have completed the room change procedure, a designated number of PGH Points will be deducted (for number of PGH Points will be deducted, please refer to: https://go.um.edu.mo/y0xpvpty). Please consider carefully whether to conduct the room change.

      V-2 According to the PGH point system, positive points will reset every semester. The points accumulated by students before November 10, 2022 (00:00) will now reset. However, students will have to accumulate points to offset negative points as negative points will not be automatically reset to zero.

      V-3 According to Article 2 Item 4 of the “Guidelines for Assessing the Applications for UM PGH Accommodation”, at the end of the designated PGH point accumulation period, postgraduate students with negative PGH points will not be eligible for a bedspace for 1st semester. Since a designated number of PGH Points will be deducted for successful room change applicants, in order to ensure the eligibility for applying the accommodation for 1st semester of AY2023/2024, applicants with negative PGH Points is recommended to participate in activities with PGH Points before March 2023 and accumulate points to offset negative points.


    VI. For successful single room applicants:
      VI-1 For students who have completed the room change procedure from a shared room to a single room during the room change period, the PGH residence fee from January 2023 to May 2023 will be charged based on the room type with the higher room rate.

      VI-2 The residents who have successfully changed from a shared room to a single room will receive a debit note one month later to pay the difference in room rate. Kindly check the Student Information Web System from time to time and settle the payment on time.


    VII. Application is not guaranteed for approval and is subject to bedspace availability.

    VIII. According to the relevant rules announced in the application for 1st semester of AY2022/2023, if PhD students did not apply for a single room in this application, their requests made at other times for changing to a single room during AY2022/2023 will not be considered.

    IX ALL PhD students who have changed the room type from a single room to a shared room during 1st semester of AY2022/2023, further room change request to a single room during AY2022/2023 will not be accepted.
