Staff Email System Upgrade – System Maintenance on this Sunday and the second phase of Mailbox Migrations begins next Wednesday

      Dear colleagues,

      Regarding the upgrade of Staff Email System from Microsoft Exchange 2013 Enterprise to Microsoft Exchange 2019 Enterprise, the first phase for mailbox migration of faculty staff has been completed. To prepare for the second phase of migration, ICTO will perform system maintenance from 9:30 a.m. to 1:00 p.m. on 29 August, 2021 to ensure system stability.

      During the system maintenance period, Staff Email service will not be interrupted but the Outlook client connection may be unstable. If you encounter any problem when using Outlook client, you can use Webmail (https://staffmail.um.edu.mo) to access your emails.

      Starting on 1st September, ICTO will continue moving users' mailboxes to the new Exchange 2019 system departmentally. This phase will start on the staff of Academic Support and Administrative Units.

      ICTO will contact the department representative for migration period. Users will also receive an email from "ICTO-noreply <ICTO-noreply@um.edu.mo>" with the subject “Mailbox Migration to Exchange 2019” before their mailbox is migrated.

      Migration arrangement:
      • The migration will be divided into many batches.
      • Each batch contains multiple mailboxes and will migrate one by one.
      • The migration time depends on the size of the mailbox. It may take a few hours or even more than one day.

      Impact during migration:
      • During migration, you will be able to send and receive emails as usual.
      • At the final step of migration, there will be several minutes when you may not be able to access the mailbox. Please wait for the task to be completed.
      • Once the email migration is completed, a message box will prompt to restart Outlook. You can still use Outlook without a restart but a restart is recommended.
