Dear PGH students,

We would like to let you know that the “PGH Room Change Application for 1st semester of AY2022/2023” will be opened for application from 19 - 21 September 2022. Details of the application are as follows:

According to Article 3 Item 2 of the “Guidelines for Assessing the Applications for UM PGH Accommodation”, at the end of the designated PGH point accumulation period (including the accumulation period of 1st semester), postgraduate students with negative PGH points will not be eligible for a bedspace for 2nd semester. Since a designated number of PGH Points will be deducted for successful room change applicants, in order to ensure the eligibility for renewal of 2nd semester of this academic year, applicants with negative PGH Points is recommended to participate in activities with PGH Points before November and accumulate points to offset negative points. Please consider carefully whether to apply for a room change.

    - Students can observe SRS staff members during draw lots;
    - All qualified applicants will be in draw lots, regardless if they attend the draw.

If student renew the accommodation for 2nd semester of AY2022/2023 successfully:
1 January 2023 - 31 May 2023, move-out by 14:00

- Single rooms in W32 will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

- SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

- PGH Points will be deducted for those successful room change applicants. Please consider carefully whether to conduct the room change.
Option 2
Single room in S1 to S4 which to be randomly assigned by SRS subject to room availability.1) PhD residents who have applied for a single room in the application of 1st semester of AY2022/2023 but were not successful in the single room allocation.
2) Shared room Master residents in S2 to S4

- Priority of single room allocation of S1 to S4 will be given to PhD applicants first, and single rooms will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

- SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

- PGH Points will be deducted for those successful room change applicants. Please consider carefully whether to conduct the room change.
Option 3
Single room in W32 which to be randomly assigned by SRS subject to room availability. In addition, if the application for a single room is unsuccessful, I accept to change the application to option 5 - "Shared room in W32 which to be randomly assigned by the SRS".1) PhD residents in W32 who have applied for a single room in the application of 1st semester of AY2022/2023 but were not successful in the single room allocation.

In addition, if the application for a single room is unsuccessful, I accept to change the application to option 6 - "Shared room in S2 to S4 which to be randomly assigned by the SRS".1) PhD residents in S2 to S4 who have applied for a single room in the application of 1st semester of AY2022/2023 but were not successful in the single room allocation.

- When the number of applicants exceed the number of vacant bedspaces, applicants who have already matched with a student who is currently staying alone in a shared room will be arranged first, and then other applicants will be allocated according to the sequence of PGH Points. When equal points occur, it will be decided by a draw.

- SRS will assign the shared room(s) with a vacant bedspace randomly to those successful applicants according to the sleeping time and no further adjustment would be allowed for the room allocation.

- PGH Points will be deducted for those successful room change applicants. Please consider carefully whether to conduct the room change.
Option 6
Shared room in S2 to S4 which to be randomly assigned by SRS subject to room availability.1) PhD residents in S1 to S4

- When the number of applicants exceed the number of vacant bedspaces, applicants who have already matched with a student who is currently staying alone in a shared room will be arranged first, and then other applicants will be allocated according to the sequence of PGH Points. C. Notes for applicants:
    1. ALL residents can only change their room ONCE per semester.
    2. Only PGH residents who have completed the PGH move-in procedure on or before 21 September 2022 and who meet the requirements stated in point B - Room Change Option are allowed to participate in this application. Any applications from residential colleges or non-PGH residents will NOT be accepted.
    3. After the result is announced, students who DO NOT perform their room change procedure within the designated period will be treated as forfeiting the newly arranged room. Besides, students may not be allowed to stay in the original room. Completion of PGH room change procedure refers to the completion of move out of the previous room and move-into the newly assigned room.
    4. Student who has completed the room change procedure from shared room to single room during the room change period, the PGH residence fee from October 2022 to December 2022 will be charged on the room type with higher room rate. E-debit note of the room rate difference will be issued to residents who have completed the room change procedure in due course.
    5. Application is not guaranteed for approval, it is subject to bedspace availability.
    6. According to the relevant rules announced in the application for 1st semester of AY2022/2023, if PhD students do not apply for a single room in this application, their request made at other times for changing to a single room during AY2022/2023 will not be considered.
    7. SRS has the rights to make the final decision.

D. Procedures for submitting an application :
    1. Login in at https://go.um.edu.mo/dlm5pnik with your student ID and Password;
    2. Fill in the on-line application form;
    3. Ensure the application information is filled correctly before submission as changes are not allowed once the submission is made;
    4. Upon completion, click "Submit" and you will see this for successful submission;

    5. Students will receive a confirmation email in their UM student email accounts after the application form is successfully submitted.
    6. If NO confirmation is received, which means the delivery of application is unsuccessful, students should contact SRS to review the application and re-submit it again. Otherwise, the application will not be entertained after the application period.
    Notes for submitting an application:
    - Each applicant can only fill in one (1) application form. If more than one (1) applications were received, only the earliest submission will be taken into account.
    - Students should read and complete the form carefully.
    - Please ensure the application information is filled-in correctly before submission, as changes are not permitted after submission.
    - The alert will pop-up at the top-left corner if there is any missing field.
    - This form serves as application only; the final arrangement is subjected to availability and the draw result.
    - If students do not submit the room change application form on/before the deadline, it will be considered as "NO change of PGH room is needed for 1st semester of AY2022/2023”.
    - SRS has the rights to make the final decision.
