Dear PGH students,

We would like to let you know that the “Application for PGH Change Room & Single Room” for 2nd semester of academic year 2020/2021 will be opened for application from 04 - 14 February 2021.

A. Eligible applicants: Only current PGH residents in S1 to S4 are eligible to apply for "Application for PGH Change Room", any applications from Residential Colleges or non-PGH residents will NOT be accepted.
B. Schedule:
Application Period 04 - 14 Feb 2021 (11:59 p.m.)
PGH point calculation period 18 Apr - 31 Dec 2020
PGH Point Lucky Draw Date
(Only for single room applicants )
17 Feb 2021 (3:30 p.m, in S3-C3 Foyer)
    -10 extra points will be added to the winner(s) to use as applying for single room;
    - All the PGH Points earned during the above period will be cleared for those single-room successful applicants, which will affect their chances of being allocated a bed-space for the 2021/2022 AY. Please consider carefully whether to change to single room;
    - After the single room application, no matter successful or not, the lucky point could NOT be accumulated.

(All PGH residents might be assigned to another bed space if student apply accommodation for 1st semester of AY2021/2022)

C. Changing Room Options:
1. Change to single room which to be arranged by Student Resources Section (subject to availability)
2. Interchange between 2 residents and both residents have to submit the on-line application forms.
3. Change to new bed space in shared room which to be arranged by Student Resources Section (subject to availability and usually will assign a shared room which occupied by one student ).
4. Change to single room which to be arranged by SRS. Besides, accept to change to other shared room if single room application is unsuccessful.

D. Notes for applicants:
1. ALL residents can only change their room ONCE per semester.
2. After the result is announced, students who DO NOT perform their room changing procedure within the designated period will be treated as giving up the new arranged room. Besides, students may not be allowed to stay in the original room. Completion of PGH change room procedure refers to completion of move out of the previous room and move in the newly assigned room.
3. Single Room:
    - For Single room applicants, please be reminded that the single room stay period for this application is from 21 Feb to 20 Jun 2021. Students who are successfully assigned for a single room and complete the change room procedure, their point(s) accumulated within the calculation period will be reverted to zero. For students who give up OR fail to change within the assigned period , their PGH points could be carried forward for the next application.
    - PGH Point Lucky Draw: a specific number of the applicants will be picked up according the number of vacant single room(s). The applicants who are randomly selected will be given an extra point – 10 points. This point will be cancelled after the change room application.
    - After the lucky draw, the allocation of single room will be determined by the total PGH points of the applicants, the higher PGH point the applicants gain in their category, the higher priority for single room assignment will be given.
    - SRS will assign the single room to those successful applicants randomly and no change of single room is allowed.
    - E-debit note of the room rate difference will be issued to the residents who are successfully changed from shared room to single room in the due course.
    - Student who has completed the change room procedure from shared room to single room OR from shared/single room to suite during the change room period, the PGH residence fee from 21 Feb to 20 Jun 2021 will be charged on the room type with higher room rate.
    - Application is not guaranteed for approval, it is subject to bed spaces availability.
4. Shared Room:
    - Application is not guaranteed for approval, it is subject to bed spaces availability.
5. SRS has the rights to make the final decision.

E. Application Procedures:
1. Login in at https://webdocs.um.edu.mo/sites/eform/sao/srs/Lists/SRSChange%20Room%20Application%20for%202nd%20semester%20202020/NewForm.aspx with your student I.D and Password;
2. Fill in the on-line application form;
3. Ensure the application information is filled correctly before submission as changes are not allowed once the submission is made;
4. Upon completion, click "Submit" and you will see this for successful submission;

5. Students will receive a confirmation email in their UM student email accounts after the application form is successfully submitted.
6. If NO confirmation is received, which means the delivery of application is unsuccessful, students should contact SRS to review the application and re-submit it again. Otherwise, the application will not be entertained after the application period.

Notes:
- Students should read and complete the form carefully.
- Please ensure the application information is filled correctly before submission, no change is allowed after submission.
- The alert will pop-up at the top-left corner if there is any missing field.
- This form serves as application only; the final arrangement is subject to availability and lucky draw result.
- If students do not submit this application form on/before the deadline, it will be considered as "NO change of PGH room is needed for 2nd semester of academic year 2020/2021”
