Dear PGH students,

We would like to let you know that the “PGH Single Room Application & Room Changing Application for the 1st semester of AY2021/2022” will be opened for application from 17 - 20 September 2021.

A. Schedule:
Application Period
17 September 2021 - 20 September 2021 (11:59 p.m.)
PGH point calculation period
11 April 2021 - 17 September 2021

    - Attendance of this draw is NOT compulsory;
    - All eligible applicants will be given the opportunity to this draw lots;

Room Change Period
24 September 2021 - 27 September 2021
Stay period of the new assigned bedspace
1st semester of AY2021/2022:
24 September 2021 - 31 December 2021, move-out by 14:00

If student renew the accommodation for 2nd semester of AY2021/2022:
1 January 2022 - 31 May 2022, move-out by 14:00

B. Room Changing Options: (Applicants can refer to the "Brief of Room Changing Options" (the third tab) to determine which option will apply based on your own circumstances)
 
Room Changing Options
Eligible applicants
(Only PGH residents who have completed the PGH move-in procedure on or before 20 September 2021)
Remarks
Option 1
Single room in W32 which to be randomly assigned by SRS subject to room availability.1) Single room PhD residents in S1 to S4- Single rooms in W32 will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

- SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

- For single room applicants, all PGH Points earned during the calculation period will reset for those successful single-room applicants. Please consider carefully whether to change to a single room.
Option 2
Single room in S1 to S4 which to be randomly assigned by SRS subject to room availability.1) Single room PhD residents in W32
2) Shared room Master residents in S1 to S4
- Priority of single room allocation will be given to PhD applicants first, and single rooms will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

-SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

- For single room applicants, all PGH Points earned during the calculation period will reset for those successful single-room applicants. Please consider carefully whether to change to a single room.
Option 3
Single room in S1 to S4 which to be randomly assigned by SRS subject to room availability. In addition, if the application for a single room is unsuccessful, I accept to change the application to the option 4 - "Shared room in S1 to S4 which to be randomly assigned by the SRS".1) Shared room Master residents in S1 to S4
2) Single room PhD residents in W32
- Priority of single room allocation will be given to PhD applicants first, and single rooms will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

-SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

- Priority of shared room allocation will be given to Master applicants. When the number of applicants exceed the number of vacant bedspaces, applicants who have already matched with a student who is currently staying alone in a shared room will be arranged first, and then other applicants will be allocated according to the sequence of PGH Points. SRS will assign the shared room(s) with a vacant bedspace randomly to those successful applicants according to the sleeping time. When equal points occur, it will be decided by a draw.

- No further adjustment would be allowed for the room allocation.

- For single room applicants, all PGH Points earned during the calculation period will reset for those successful single-room applicants. Please consider carefully whether to change to a single room.
Option 4
Shared room in S1 to S4 which to be randomly assigned by SRS subject to room availability.1) Master residents in S1 to S4
2) PhD residents in S1 to S4 & W32
- Priority of shared room allocation will be given to Master applicants. When the number of applicants exceed the number of vacant bedspaces, applicants who have already matched with a student who is currently staying alone in a shared room will be arranged first, and then other applicants will be allocated according to the sequence of PGH Points. SRS will assign the shared room(s) with a vacant bedspace randomly to those successful applicants according to the sleeping time. When equal points occur, it will be decided by a draw.

- No further adjustment would be allowed for the room allocation.
Option 5
Interchange shared room bedspace
(Both shared room residents must apply)
1) Shared room residents in S1 to S4Both residents need to submit an application otherwise the application will not be approved.
Option 6
Interchange single room bedspace
(Both single room residents must apply)
1) Both applicants are single room residents in S1 to S4

2) Both applicants are single room residents in W32

3) One applicant is a single room PhD resident in S1 to S4, and the other is a single room PhD resident in W32
Both residents need to submit an application otherwise the application will not be approved.

C. Notes for applicants:
    1. ALL residents can only change their room ONCE per semester.
    2. Only PGH residents who have completed the PGH move-in procedure on or before 20 September 2021 are allowed to participate in this application. Any applications from residential colleges or non-PGH residents will NOT be accepted.
    3. After the result is announced, students who DO NOT perform their room changing procedure within the designated period will be treated as giving up the new arranged room. Besides, students may not be allowed to stay in the original room. Completion of PGH room changing procedure refers to completion of move out of the previous room and move in the newly assigned room.
    4. Student who has completed the room changing procedure from shared room to single room during the room changing period, the PGH residence fee from October 2021 to December 2021 will be charged on the room type with higher room rate. E-debit note of the room rate difference will be issued to the residents who are successfully changed from shared room to single room in the due course.
    5. Application is not guaranteed for approval, it is subject to bedspaces availability.
    6. According to the relevant rules announced in the application for 1st semester of AY2021/2022 which conducted from 31 March 2021 to 12 April 2021, PhD students (except freshmen of AY2021/2022) who did not apply for a single room in the application of 1st semester of AY2021/2022 , their request made at other times for changing to a single room during AY2021/2022 will not be accepted.     7. SRS has the rights to make the final decision.

D. Procedures for submitting an application :
    1. Login in at https://go.um.edu.mo/mh6ga9ve with your student ID and Password;
    2. Fill in the on-line application form;
    3. Ensure the application information is filled correctly before submission as changes are not allowed once the submission is made;
    4. Upon completion, click "Submit" and you will see this for successful submission;

    5. Students will receive a confirmation email in their UM student email accounts after the application form is successfully submitted.
    6. If NO confirmation is received, which means the delivery of application is unsuccessful, students should contact SRS to review the application and re-submit it again. Otherwise, the application will not be entertained after the application period.
    Notes for submitting an application:
    - Each applicant can only fill in one (1) application form. If more than one (1) applications are received, only the earliest submission will be taken into account.
    - Students should read and complete the form carefully.
    - Please ensure the application information is filled correctly before submission, no change is allowed after submission.
    - The alert will pop-up at the top-left corner if there is any missing field.
    - This form serves as application only; the final arrangement is subject to availability and draw result.
    - If students do not submit this application form on/before the deadline, it will be considered as "NO change of PGH room is needed for 1st semester of AY2021/2022”
