Dear Postgraduate Students,

Please note that the result of Postgraduate House accommodation application for NEW and Returning Postgraduate Students of 2nd semester of Academic Year 2022/2023 (hereinafter referred to as "AY2022/2023") with room allocation is attached below:

B. Schedule:

Stay period of 2nd semester of AY2022/2023
4 January 2023# - 31 May 2023, move-out by 14:00

#For new move-in students, students are required to complete the PGH move-in procedure within the first month of the relative stay period in person (i.e. on or before 31 January 2023). Otherwise, the bedspace will be cancelled automatically. A 1-month residence fee will be charged for this kind of case.

For students who are unable to come to Macao before the deadline to check into their dormitory due to the mainland epidemic lockdown or Macao's entry quarantine measures, they can send an email to apply postponement of check-in. Students are required to provide the whereabouts, estimated check-in date and relevant supporting document(s) for our further review. As there are still students on the waitlist, the PGH will review the applications and reserve the right to approve.
Payment period of the PGH residence fee for 2nd semester of AY2022/2023
A debit note will be issued to student’s ISW account around 1 month after the move-in procedure is completed. The payment period shall be subject to the e-debit note.

Notes for PGH Residence Fee:
    a) Students whose application of PGH accommodation in the 2nd semester of AY2022/2023 is accepted will be required to pay their residence fee within the payment period stated in the schedule under Point B.
    b) If NO residence fee is received by the payment deadline, the application will be cancelled automatically and NO bed space will be reserved.
    c) Students, who have paid the PGH residence fee and decided to move-out from PGH within the first 3 months of the residence period of 2nd semester of AY2022/2023 (i.e. 1 January 2023 to 31 March 2023), PGH residence fee will be refunded in proportion to students ONLY with reasons of graduation, exchange (with supporting documents), medical issues (with medical certificates from hospitals in Macao). For the amount of refundable residence fee, please refer to "PGH Refund Terms and Conditions". No refund will be given to the students who moved-out without aforesaid reasons or moved-out on or after 1 April 2023.

D. Move-in procedure
New move-in residents are required to approach to the Management Company Office# to complete the move-in procedure.
    # Location of the management company in each area:
      - S1 to S4: S3-G003
      - W32: W32-G003
      Required documents:
      • One 1.5 inches passport photo
      • UM Offer Letter (if applicable) / Student ID
      Procedure:
      1. Present your student ID to the Management Company staff.
      2. Students who have been assigned a shared room but have not confirmed the room number can select the room on site.
      3. Complete the Move-in Form and equipment checklist*.
      4. Student will get the room key card from the management company staff.
      * Please return the Move-in Form and equipment checklist to the Management Company# within 2 days of your move-in day. If there is no receipt of the Move-in Form, your room key card will be deactivated. If there is no receipt of the equipment checklist, it is considered that your room equipment is in good condition and you should bear the responsibility of any damage to the equipment.

E. Remarks:
    I. Please note that the number of bedspaces in PGH is limited, applicants should submit the application within the application period.

    II. Late applications will NOT be accepted. Even if students are willing to accept the penalties, SRS will not entertain. Any decision made by SRS shall be final.

    III. After renewal for existing PGH residents, the remaining bedspaces will be allocated to eligible applicants according to the approval criteria stipulated in the “Guidelines for Assessing the Applications for UM PGH Accommodation”.

    IV. Students who are not offered bedspaces will be placed on a waiting list in a sequence decided according to the above-mentioned guidelines. If there are bedspaces released from students who fail to settle the payment or from students who cancel their applications, the bedspaces will be allocated according to the waiting list order, except for the situation mentioned in article 4 of the above-mentioned guidelines. Students will be informed of the offers by emails. Besides, those student might need to arrange off-campus accommodation themselves.     V. Arrangement of suite allocation:
      a) Married couples are eligible for suites only if both individuals are registered UM postgraduate students.

      b) In case of the situation as below, the other party of the marriage who get approval for the application for PGH accommodation will be allocated to the bedspace in PGH buildings according to the gender.
      - Either of the parties to the marriage who have reached the maximum study period / received an eviction order / whose status have been changed to non-active, such as “graduated”, “withdrawal”, “deferred” and “inactive”, etc,
      - Either of the parties to the marriage do not submit the application for PGH accommodation;
      - Either of the parties to the marriage do not get approval for the application for PGH accommodation;
      - Either of the parties to the marriage complete the move-out procedure.
      c) SRS will assign the suite(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

    VI. Arrangement of single room allocation:
      a) In case there are vacant single rooms, priority of single room allocation will be given to PhD applicants first, and then will be allocated to eligible applicants according to the sequence of PGH Points. When the number of available rooms is insufficient and equal points occur, it will be decided by a draw.

      b) SRS will assign the single room(s) randomly to successful applicants and no further adjustment would be allowed for room allocation.

    VII. Arrangement of share room allocation:
      a) Applicants who have already matched with a student who is currently staying alone in a shared room will be arranged first, and then other applicants who cannot find a roommate to stay with during 2nd semester will be allocated to a shared room according to the room availability on-site, students might be assigned a roommate who has a different sleeping schedule due to room availability on-site.

      b) No further adjustment would be allowed for the room allocation.


      c) PhD students who have selected the "Shared Room" as their room type of 2nd semester of AY2022/2023, their request made at other times for changing to a single room during AY2022/2023 will not be accepted.
    VIII. Location arrangement for PhD applicants successfully approved for a bedspace:
      a) Applicants with highest PGH points will be given the priority to be allocated to the available bedspaces in the location (S-zone or W-zone) based on the preference provided on the application form. When the number of available bedspace in the same location is insufficient and equal points occur, it will be decided by a draw. For applicants who are not successfully allocated to their preferred location, the Student Resources Section will assist to adjust their location according to the actual room conditions.

      b) Since dormitory at W32 is equipped with a central cooking area, SRS strongly urges PhD single room applicants who have cooking needs should choose W32 as your preferred location.

    IX. For applicants who have be allocated to a single room OR a suite, the residence period will end on 31 May 2023. No matter which month students move-in / change to a single room or a suite, all single rooms and suites (including medical reasons) will be allocated all over again in June every year. If student would like to continue to stay in the same room type onward, they have to apply for single room and suite again in the application which will open at the end of February to mid-March of 2023 (the specific application period is subject to the actual announcement). The arrangement of single room / suite allocation will be subjected to the announcement in due course. Rooms are not guaranteed and are subject to the final approval.

    X. According to Article 39 of the Personnel Statue of UM and Article 18 of Chapter 7 of Regulations of the Personnel Affairs of the UM about the attribution of housing subsidy, UM staff is not eligible to receive the housing subsidy when he/she successfully applied for the housing provided by UM or any public entities, including the Student Dormitory (i.e. Postgraduate House).

    XI. Room assignment is arranged by SRS. For any room with vacant bedspaces, SRS reserves all rights to assign other students to them at any moment.
